By spending it on one good object rather than on a set. At a few hundred rupees a piece the choice that reads best in a member's hand is a single steel or insulated item, properly finished, in a printed box. A kit of three small things costs the same and looks like three small things. Tell us the budget and the quantity and we will shortlist against both.

We can, and you should think twice. A piece marked with the year and the meeting number cannot be carried over, so anything left at the end of the day is written off. A piece carrying only your bank's name keeps its value for the next occasion. If you want the year, order to the number you expect to hand over rather than to the member register.
Electric kettles, mixer grinders, rice cookers and induction cooktops fall under the household appliance quality control order that makes a BIS ISI licence mandatory, and pressure cookers carry their own mandatory licence. They are supplied marked, and the manufacturer's BIS licence number is stated on the quote, so your auditor can check it before the order is passed.
No regulator prohibits it, and your own model bye-laws assume it happens. We searched the RBI master circulars for urban co-operative banks on Board of Directors, Investments, Capital Adequacy and Inspection, plus NABARD guidance and the state Registrar rules, and found no circular restricting gifts, mementos or presentation articles to members. What matters is your file: tie the spend to a board resolution, a budget line and a member count your auditor can reconcile. We put your resolution number on the invoice if you give it to us.
That is a different rule and it is the one people reach for. The RBI caps donations by urban co-operative banks at one per cent of the previous year's published profit, and two per cent where it goes to a government recognised fund. A donation is a gratuitous transfer to an outside institution. A memento handed to a member who attended your general body meeting is an expense of conducting the meeting, not a donation. Worth naming the distinction in the note to the board rather than waiting for the question.
One thing. A bank under the RBI's Prompt Corrective Action framework, which replaced the Supervisory Action Framework from April 2025, can have discretionary spending curtailed at the supervisor's discretion. If your bank is under PCA, settle the position before you order rather than after. Separately, a primary agricultural credit society may not lawfully use the words bank, banker or banking, so check the artwork if your society is not a licensed bank.
It usually sits in your administrative and contingent expenditure, and that is where the real ceiling is rather than in any gift rule. Under the Andhra Pradesh Co-operative Societies Act 1964, which applies in Telangana, a society credits one per cent of gross profit to the Co-operative Education Fund and may credit no more than thirty per cent of gross profit, or two per cent of working capital, whichever is less, to the administrative and contingent fund. Your gift competes with salaries inside that. Your finance team will know the headroom before the shortlist matters.
Plan on the cautious answer, and take your auditor's view rather than ours. Section 17(5)(h) of the CGST Act blocks credit on goods disposed of by way of gift, and in October 2024 the Madras High Court refused credit on goods bought for sales promotion (ARS Steels and Alloy International vs State Tax Officer). A co-operative bank's ability to claim credit is limited in any case. Treat the landed cost as your real cost. You get a proper invoice with your GSTIN and the HSN code for every line.

A general body meeting is valid on a quorum of a fifth of the members or three hundred, whichever is fewer, so attendance is a fraction of the roll. Look at last year's attendance, add for a contested board year, and tell us both figures. We would rather help you size it than sell you stock that sits in a branch.

Six to eight weeks, and earlier if your meeting falls in the busy window. Your general body meeting has to be held within six months of the financial year closing, so most banks in a state are buying in the same few weeks and competing for the same transport. The earlier you confirm, the wider the shortlist and the calmer the delivery.
